Event Assistant Job Description – The Table Setting Showcase Sonoma County Fair (Seasonal/Temporary Employee) 

 

Position Summary The Sonoma County Fair is seeking an organized, creative, and enthusiastic Event Assistant to support the Table Setting Showcase. This position works directly with the Table Setting Showcase Producer to assist with event planning, sponsorship outreach, marketing, setup, and onsite operations before and throughout the Fair. This is an excellent opportunity for someone interested in event planning, marketing, hospitality, graphic design, or community engagement. Compensation & Schedule 

 

• Pay Rate: $23.00 per hour 

• Maximum Hours: 70 total hours (from hire date through the final day of the Sonoma County Fair) 

• Benefits: Sonoma County Fair admission pass and Parking pass 

• Must be available for: Pre-fair planning meetings (scheduled as needed) August 5: Full-day event setup o Occasional evenings and weekends during the Fair. Multiple days throughout the Fair to assist with event operations, photography, and social media content Essential Responsibilities Sponsorship & Community Outreach 

• Research prospective sponsors and community partners. 

• Contact local businesses by email, phone, and in person to secure sponsorships. • Follow up with prospective sponsors and maintain communication records. 

• Assist with sponsor recognition and fulfillment before and during the Fair. Marketing & Design • Design and update event signage, promotional materials, and sponsor recognition pieces using Canva. • Assist with creating and scheduling social media content. 

• Capture high-quality photos and videos throughout the Fair for social media and future marketing efforts. 

• Organize digital media assets and assist with post-event content. Event Planning & Coordination • Work directly with the Table Setting Showcase Producer on planning, logistics, and event execution. • Coordinate with Sonoma County Fair staff and internal Fair committees as needed. 

• Assist with exhibit layout planning and event setup. 

• Help organize supplies, signage, awards, and event materials. 

• Track project progress and assist with timelines and task management. • Maintain regular communication with the Showcase Producer regarding project updates and priorities. Onsite Event Support 

• Assist with setup on August 5. • Provide onsite support throughout the Fair. • Welcome and assist exhibitors as needed. 

• Assist with judging logistics and awards presentations. • Monitor displays and signage. 

• Capture event photography and video content for social media. 

• Help troubleshoot issues and provide general event support. Qualifications • Strong organizational skills and attention to detail. 

• Excellent written and verbal communication skills. • Comfortable interacting professionally with businesses, sponsors, exhibitors, Fair staff, and the public. 

• Experience using Canva (or willingness to learn quickly). 

• Familiarity with Instagram and Facebook. • Must own and have regular access to a smartphone capable of capturing high-quality photos and videos for social media. 

• Ability to work independently while collaborating with multiple stakeholders. 

• Comfortable walking throughout the Fairgrounds and lifting up to 25 pounds. 

• Reliable transportation. • Positive attitude, flexibility, and willingness to assist wherever needed. Preferred Qualifications 

• Experience with event planning, hospitality, marketing, or customer service. • Graphic design, photography, or social media experience. 

• Knowledge of Sonoma County businesses is a plus. Reporting Structure This position is a temporary Sonoma County Fair employee. The Event Assistant will report directly to the Table Setting Showcase Producer for day-to-day assignments and project direction while coordinating professionally with Sonoma County Fair staff, departments, and internal committees throughout the planning process and during the Fair. Ideal Candidate We're looking for someone who is creative, organized, proactive, and enjoys working with people. The ideal candidate is comfortable balancing office planning with hands-on event work and is excited to help grow one of the Sonoma County Fair's newest and most unique competitions. This role offers valuable hands-on experience in event production, sponsorship development, marketing, graphic design, and live event operations while working closely with the Table Setting Showcase Producer and Sonoma County Fair staff.
